The binder meeting is a few days before the tournament starts (like 4). If we picked then, then we would have everyone yelling at us about setting it too late. I have a hard
time getting everyone together for mandatory meetings, much less a special “Draw” meeting. Since the tournament is in Deer Park, and everyone has to travel an exceptional distance, and since not all teams had been identified until May 28th, then
I could make the draw on May 29th , after we got everyone’s final team line up agreed upon. I promised the leagues I would get the info out after the meeting and before or during the weekend… hence the day it landed out to everyone. I did send
it out to the tournament director and the ADAs a day before everyone else got it to see - if there were any issues with it they would let me know, but after 24 hours when no one said anything, I let it fly.
There have been leagues, parent, managers, and other volunteers that have been asking for a schedule for 3 weeks or more. (2 leagues to be specific for more than 3 weeks, and
all leagues for about 2+ weeks before the draw was made). We couldn’t make the draw until all leagues and teams have been finalized (which happened on the 28th).
There is no guidance from Little League as to how the brackets are picked other than they need to be settled for Western region and sent to them by a certain date. Since I
have “no dog in this fight” and don’t really care who gets what slot, then it’s usually left up to me to get the draw done. Usually it’s done by my 9 year old daughter, but since she was not available when I did the pick, I just let the chatbot figure it out.
On another note, the District is always looking for volunteers and we need help at the ADA (Assistant District Administrator level), and you would be welcome to get into the
thick of things if you would like to volunteer to help out… we are also all volunteers and an extra pair of hands would be appreciated.

Thanks for the info. I'll be completely honest with you, that provides very little transparency into what is an important piece of the district tournament. Why would there not be a random name draw out of a hat with all teams/leagues represented
(at the binder meeting for example)? Does our district or Washington state LL have any guidance on this process? How does the state set the state tournament brackets? Like I said I am new to this, but I would expect there to be some transparency in how the
bracket is set.

Everything else is generally set between the host league, and the rest of the leagues based on comments during the video conf. Schedules and field availability is generally the call of the host league as they have to provide the volunteers. I met with them a couple weeks ago at their venue to review the tournament needs and their resources to get a bearing on that.

Hi JP,
Thanks for getting the information out to us quickly. As I'm a new board member this year, I was curious what the process that you go through to set the schedule and bracket. Was this set on the zoom call when all leagues had the option of having a representative there to witness the bracket draw, or was there another process for that?

We will have our Managers meeting at 5:00PM in Deer Park (Tri-county will let me know the venue shortly). Teams that do not send a manager (or coach that will be in the dugout during ALL games) will forfeit their right for coin toss throughout the tournament. This is a mandatory meeting.
Then the Presidents meeting is at 6:00PM at the same venue. Each year Little League requires the DAs to meet with the leagues 5x a year. This is one of those times, and since it is District tournament time, it’s a good time to get together. It also helps reinforce tournament rules and equip the Boards to help their managers be successful at the Tournament and into State.
If the president cannot attend for some reeeeaaalllllyyy special reason, they must send one of the Board members in their place. ALL board members are always available to attend any meeting held by the District.
