We have not had an issue with assessments from our leagues.

 

In D-13 we established a practice of having a “Winter Baseball Meeting” the last weekend in October. Board representatives from ALL Leagues are required to send a representative, or as many reps as they like. (I encourage as many as a league can send to come). We discuss and vote on things at this meeting and get all caught up for the last year, meet new Board members and other things... We buy lunch, so attendance is usually good to the meeting. Last year out of our 8 leagues we had 17 attendees.

 

We do several things at this meeting, like setting the location of the District Tournament, the tournament format, who the tournament director will be (It’s always a representative of the host league), and we set assessments and discuss where the assessment money went. We also talk about our plans for the upcoming year, and what our goals are financially as a District. This helps ease the “assessment hassles”.

 

Currently our District charges $4 per player that is registered as of April 1 of the new year. This gets the most recent player numbers and puts the assessment at a time when leagues are flush with cash from registrations and not after the season when they are all broke 😉 . The District Treasurer sends out an invoice the first week in April and the invoice is due by the end of the month. We also re-iterate the rule that if their assessments are not met by District Tournament time, we don’t sign books. I do get the odd check each year from some league that forgot to pay assessments the day of book signing for the District Tournament, but most pay as soon as they get the invoice.

 

The District buys all the awards, baseballs, umpire food and rooms if they travel in and so forth for the District Tournament, pays for advertising, and most “extra” stuff the tournament may need. This is where the bulk of the assessment goes as we try not to burden a smaller leagues with the financial commitment of a District Tournament – they have enough problems getting volunteers.

 

We might have $750-$1500 or so left at the end of the year… which we contribute to the mandatory Bob Toigo retirement fund. Unfortunately it hasn’t happened yet, so the fund just keeps building. 😉 😉 😉 Maybe someday the fund will get big enough so that we can buy our own private jet like D-9 has and make all the state meetings in fine fashion. (That’s a joke in case this email gets sent to Western).
