All, For the SR/JR State Softball tournaments we are trying to avoid teams to have to play on the 4th of July Weekend. For Srs, we may have 2-4 teams, this tournament will only take 2-3 days. For Jrs, we looked at the schedule and should be able to complete in 6-7 days, which would mean the tournament will conclude around July 12 or 13th, this is 6-7 days before they need to be at the the regional. Per the rule book, I must release the schedule either 2 weeks prior to the start or by June 20th (whichever is ealiest) so Districts will need to commit by June 20th if they will be having a team attend. If more teams decide to enter, we can evaluate to see if we need to start earlier. Also, we have multiple fields (some are turf, in case of rain) that we will be using, which will allow the tournament to be completed in a short period of time. So you are saying that the date for the Junior SB tournament “may not “ be set until June 20. I don’t know how this works with other districts but changing start dates that late does not go over well. Is this the same with 8/10 and 9/11 SB…..waiting to see how many teams join then set the date mid June? I don’t understand why this didn’t come up at the last state meeting when all the dates were set and agreed upon by DA’s….I know when D12 couldn’t take the tournament more than 1 DA ask to please not have the start date moved by whoever took the tournament. I’m not a DA but I’m frustrated with going back to the league SB VP’s at our interlock meeting next week and telling them the date has changed and may change again as late as June 20. I don’t know the details about who controls start dates. Up until about 10 years ago, D.A.s set the dates (usually at the fall meeting) and reported them to other state D.A.s. With the advent of the state association, this was done and put in the state minutes. This system resulted in too many tournaments on the same weekends and a shortage of umpires. We began setting the dates as a team, led by recommendations from the umpires. This was done by vote of the members. In reading our constitution, I don’t see that this power was constitutionally given to any officer or committee. We need to decide as a state if D.A.s do this individually as was done historically or as an associate as we have been doing the last several years. I think that is a discussion for the full group at a time when we can talk face to face. I would recommend that whatever is decided becomes part of the constitution/by laws so we don’t have this type of late date movement happen in the future. At this point, I need to know if we need a meeting, email vote or just allow a final date change as proposed by Doug for his tournaments. My observation would be that it is too bad that the date issue wasn’t brought up and considered earlier so it could have been taken up by the entire group. But, since it wasn’t and it now presents a problem for Doug with his volunteers and/or field attainment, I recommend ( don’t have the authority to make a decision outside the group) that Doug set a firm date for starting the tournament by the end of February, being careful of the dates by which the teams need to report to regionals. This will allow us to move forward for this year while planning at a future meeting to avoid a similar occurrence in future years. I’m sure there are other solutions. I considered three or four alternatives myself before making the above recommendation. In the interest of not confusing matters, I am not going to list them. Others are welcome to. Anyone who wants to object to the “solution” above please voice it with a recommendation for an alternative “solution.” If we need a meeting to figure this out, please let me know that. I will be unavailable for a week after Saturday, so to get a decision before the end of February, we would need to meet soon.
